Xero Beautiful Accounting Software

Xero allows users to access to their datafile from another application via an API (Application Programming Interface). This basically means that what if budget™ can access the features of Xero to extract requested data.

You can use the API to bring across your expense and/or product information.

To create the secure API link you just need your Xero username and password.

getting the data

To have what if budget™ obtain data from Xero…

Make sure you are in the budgets section.

Choose main menu > import data

Choose link to accounting system > Xero

to import expenses…

Choose report type > expenses

Choose choose date range > the timeframe you require

Click get data

The window will switch to the ‘Xero IdentityServer, enter your username and password for Xero. Click on login.

The expense information you requested is imported into what if budget™.

When you import your expenses, a new budget is created with the expenses attached. Your new budget will be called “From Xero – timeframe chosen”, reflecting the date range you chose to import. You can rename your budget if needed, with the budget loaded, just modify the name in the ‘loaded budget scenario’ field and press tab.

Each time you get expense data, a new budget will be created.

Choose report type > products/services

Click get data

The products/services information you requested is imported into what if budget™.

The data extracted from Xero is not live, in that when you make changes in Xero, it does not then automatically update into what if budget™.

Each time you get products/services data, any new products added in Xero will add into what if budget™. Any items that have updated pricing information will update in what if budget™. Be careful though, if you change product/service information in what if budget™, those changes will be lost if you again import products/services into what if budget™.
